I hope that you have enjoyed the article \u201cRFP Templates: \u00a0Use \u2019em, Don\u2019t Abuse \u2019em.\u201d<\/p>\n
Though the article was focused on adapting an RFP template for use as a real-world RFP, the same tips apply to using a sample RFP. \u00a0I distinguish a sample RFP from an RFP template as follows:<\/p>\n
Many RFP templates and almost all sample RFP\u2019s contain language that doesn\u2019t apply to the situation to which they are being adapted. \u00a0And that\u2019s where the danger is.<\/p>\n
If you include a requirement that doesn\u2019t apply to your situation, the prospective bidders may be scared off by it. \u00a0For example, if your sample RFP was for construction services and your situation calls for an RFP for consulting services, there may be a paragraph addressing supplier insurance. \u00a0Because of the inherent dangers of construction services, you may be asking that bidders have certain insurance coverage that consultants typically don\u2019t have. \u00a0Or, you may be asking for very high liability limits for types of insurance that both construction firms and consulting firms have.<\/p>\n
Unless you modify the sample RFP\u2019s insurance requirements for your situation, the consultants receiving your RFP may not have the specified insurance coverage. They may be unwilling to acquire that insurance, even if they were the successful bidder. \u00a0As a result, they may quietly submit a no-bid. \u00a0You may have just repelled the supplier that would have performed best for you.<\/p>\n
The bottom line is that any RFP you write \u2013 whether from scratch or using a template or a sample RFP \u2013 should specifically address your situation and should not contain any language that doesn\u2019t apply.<\/p>\n
